Most teams run prospecting in one tool, a CRM in another, and email campaigns in a third. Projecto puts the whole loop in one self-hosted app on a private server you rent from MT Labs. Find leads, manage them as a smart CRM, then email them, with the data sitting on your own infrastructure inside Singapore.
The problem: three tools, three bills, three places your data lives
The standard sales motion is held together by separate subscriptions. A prospecting tool finds the contacts. A subscription CRM stores them. An email platform sends the campaigns. Each one is billed per seat, each one keeps a copy of your customer list, and none of them talk to each other without manual exports.
The cost is the obvious problem. Per-seat pricing on a CRM, a prospecting tool, and a newsletter platform adds up fast for a growing team. Hire a salesperson and you add three seats, not one. The bill scales with headcount even when the workload does not.
The quieter problem is data sprawl. Your prospect list lives on a US cloud vendor. Your pipeline lives on another. Your subscriber list lives on a third. For Singapore companies thinking about PDPA, that is three external places to audit, and three vendors who hold the contact details of your customers.
Then there is the friction between the tools. Leads get pulled from the prospecting tool, manually pushed to the CRM, then exported to the newsletter platform, then re-imported back so the open rates show up next to the right contact. Every handoff is a chance for the data to drift.
The approach: one app, one server, the full pipeline
Projecto is a self-hosted project management and smart CRM that runs on the private AI server you rent from MT Labs. The same server hosts the rest of the suite, so the CRM sits next to your AI image generator, your team chat, and your video review tool. One machine, one place your data lives.
The pipeline runs end to end inside the app:
- Lead Finder. A prospecting tool built in. Search a keyword, the crawler walks ranking sites, scrapes contact emails, and pushes them straight into the CRM. Crawl depth is adjustable, so you can stay shallow for fast pulls or go deeper for a targeted list.
- Smart CRM. Kanban, table, gallery, and calendar views over the same cards. Seven templates including Sales Pipeline CRM, Project Management, and Sprint Planner. Eighteen card property types for everything from deal size to next-action date.
- AI contact extraction. Paste in messy text from WhatsApp, an email thread, or a meeting note, and the AI pulls out Name, Title, Company, Email, Phone, and Date Last Contacted into a clean card. The provider is OpenAI-compatible and configurable, so it can run against a private model on your own server.
- Email scanning. Connects to Outlook on Windows and any IMAP inbox. Scans the mailbox and extracts contacts straight into the CRM. Gmail support is in the pipeline.
- Newsletter campaigns. A visual block editor with ten block types, reusable templates and recipient lists, merge tags, scheduling, throttled sending, List-Unsubscribe with one-click opt-out, and click tracking. The same contact records you store in the CRM become the recipient lists.
Because Projecto is bundled on the rented server, it carries the three pillars that come with owning the infrastructure: unlimited users at a flat cost, unlimited contacts and campaigns, and storage that does not stack into a separate bill. Add the whole company to the CRM and the price does not change.
Underneath, Projecto is a TypeScript monorepo with React and Express on SQLite. Backups are JSON export and import, so there is nothing exotic about how the data sits at rest. Multi-user with admin roles is built in.
What it looks like in practice
A small sales team starts a week with a target sector and a keyword list. They run Lead Finder against the keywords, the crawler returns ranking sites in that sector, and the contact emails land in the CRM as new cards on a Sales Pipeline board.
Through the week, replies come in over email and WhatsApp. The team pastes the rough message into a card and the AI extraction fills in the missing fields. The cards move along the Kanban board from New to Contacted to Qualified, with the dates and notes captured inline.
At the end of the week, the team builds a follow-up newsletter in the visual editor and selects the segment they want, the contacts who hit Qualified but have not booked a call yet. Send happens from the same app, the open and click data attaches back to the contact card, and the team sees engagement next to the conversation history rather than in a separate dashboard.
No exports, no manual handoff between tools, no per-seat fee for adding the new hire who joined on Monday. The whole loop runs on the server you already rent, and the contact data never leaves it.
Where this approach has limits
A self-hosted CRM is the right call when you want one app to own the full pipeline and you care about where the data sits. It is not the answer for every situation, and being clear about that matters.
If your team is one person sending a handful of emails a month, the bundled server is more infrastructure than the workload needs. Projecto on a rented server pays off when there is a team running prospecting, sales, and email together, not when usage is occasional.
Lead Finder is built for web-based prospecting. It crawls sites and pulls public contact emails, which is exactly what most B2B sales teams need. If your motion depends on a specialised data provider for a regulated industry, that source still belongs in your stack alongside Projecto, not replaced by it.
The newsletter side is engineered for direct-from-your-team campaigns to your own opt-in lists, with proper unsubscribe handling. It is not a transactional email service, and it is not designed for mass outbound to lists you did not collect. For deliverability and for the law, that distinction matters.

FAQ
What does Projecto actually replace?
Projecto replaces the stack you usually run for sales and customer outreach: a prospecting tool to find leads, a subscription CRM to manage them, and a newsletter platform to email them. All three live in one self-hosted app on your rented server, with the contact data on your own infrastructure.
Where does our lead data and customer list actually live?
On the private AI server you rent from MT Labs. Contacts, pipeline cards, email content, and campaign reports all sit on that machine, inside Singapore, on infrastructure you control. Nothing is sent to a third-party cloud CRM or email provider.
How does Lead Finder work in practice?
You enter a keyword, the crawler walks ranking sites and extracts contact email addresses, and the results land straight in the CRM as new cards on whichever board you choose. Crawl depth is adjustable, so you can run a fast shallow pull or a deeper, more targeted sweep.
How is this priced compared with per-seat CRMs and newsletter tools?
Projecto is bundled on the AI server you rent from MT Labs, so the cost is flat regardless of how many people use it. Per-seat CRMs and email tools charge for every user and every contact tier, which scales with your team and your list. Add the whole company to Projecto and the price does not change.
Can we send proper marketing emails from it?
Yes. The newsletter module has a visual block editor with ten block types, reusable templates and recipient lists, merge tags, scheduling, throttled sending, List-Unsubscribe with one-click opt-out, and click tracking. It is built for your own opt-in lists with proper unsubscribe handling.
Does the AI contact extraction need to send our data to a cloud model?
No. The extraction layer is OpenAI-compatible and configurable, so it can point at a private model running on the same server. Messy text in, structured contact card out, with nothing leaving your environment.
How do we get our existing data in, and out if we ever leave?
Projecto supports JSON export and import for backups and migration. You can bring your existing contacts in, and you can take everything with you at any time. The format is open and inspectable rather than locked behind a vendor.
How much does it cost?
Pricing depends on the size of the server and what your team needs, so we scope it per project rather than quote a fixed figure. Get in touch and we'll map it out with you.
